# Take event bookings on LINE

> How to create time slots with capacity and take bookings from LINE friends. Friends can join a waitlist when a slot is full, bookings can wait for your approval, and confirmations, promotions and reminders are sent on LINE.

On the **Events** tab, you create time slots with capacity and take bookings from LINE friends (reservations). Friends book on a LINE MINI App page and can join a waitlist when a slot is full. You can also approve applications before confirming them, or use the same slots across several accounts. Confirmations, promotions from the waitlist and reminders before the start are sent as LINE messages.

## Before you begin

- You need a LINE MINI App ([Connect a LINE Official Account](/docs/en/line/connect-account/), "Set up a LINE MINI App"). For an account without one, you can create events, but friends can't book them.
- Members and above create and change events, approve bookings and cancel them. People with **Assignments** to specific accounts don't see the **Events** tab.

## Create an event

1. In LINE management, open the **Events** tab and click **New event**.
2. Enter an **Event name** and choose the **Primary account**. Friends don't see the name.
3. To take bookings from friends of other accounts in the same slots, choose them under **Shared accounts** (it appears when you've connected two or more accounts). The chosen accounts share capacity and bookings.
4. Enter the **Title**, **Description** and **Place** that friends see.
5. Under **Times and capacity**, enter **Starts**, **Ends (optional)** and **Capacity** for each slot. Click **Add slot** for more slots. Times are in Japan time.
6. Under **Bookings**, set approval, the waitlist, the cancellation deadline, the reminder and the tag (see "Booking rules" below).
7. Check the text of the **LINE messages**.
8. Turn on **Take bookings** and save.

After saving, click **Copy URL** on the event to copy the booking page URL, and share it with friends in a broadcast, a rich menu and so on.

## Booking rules

| Setting | What you choose |
| --- | --- |
| Approve applications before confirming bookings | When on, each application starts as **Pending approval** and is confirmed when you approve it (see "View, approve and cancel bookings" below). Pending applications count toward capacity |
| Waitlist | When on, full slots still take waitlist bookings. When a seat opens, the oldest waitlist booking is promoted first. For events that need approval, promoted people also become **Pending approval** |
| Friends can cancel | **Until it starts**, or until a number of hours before |
| Reminder before it starts | **Don't send**, or how many hours before to send it |
| Tag for friends with a seat | A tag for friends whose booking is confirmed or promoted (for events that need approval, it's added when you approve). Scenarios and automations that start with that tag, and tag-based rich menus, run too |

Each friend books one slot per event. To change the time, a friend cancels and books again. For events with shared accounts, the same LINE user and friends linked as the same customer can't book twice, even from different accounts.

## LINE messages

Friends get a LINE message at these times. Leave a text empty and nothing is sent at that time. `{name}` becomes the friend's name. Every message gets the event title, time, place and a link to check the booking added below it.

| Message | When it's sent |
| --- | --- |
| When awaiting approval | For events that need approval, when an application is received or promoted from the waitlist |
| When a booking is confirmed | When the friend gets a seat (for events that need approval, when you approve) |
| When added to the waitlist | When the slot is full and the friend joins the waitlist |
| When promoted from the waitlist | When the friend moves into an open seat |
| Before it starts | At the time set in **Reminder before it starts** |
| When rejected | When you reject a pending application |
| When you cancel a booking | When you cancel the booking from the booking list |

**When awaiting approval** and **When rejected** appear when **Approve applications before confirming bookings** is on.

## View, approve and cancel bookings

1. Click **Bookings** on the event.
2. Each slot lists the people who booked, the people pending approval and the people on the waitlist. If there are many, click **Show more** for the rest.
3. For events that need approval, click **Approve** or **Reject** on each **Pending approval** application. Approving sends the confirmation and adds the tag and the reminder. Rejecting sends the rejection message, and if a seat frees up, the next person on the waitlist is promoted.
4. On the day, change **Status** to **Attended** or **No-show** to keep a record.
5. To cancel a booking, click **Cancel booking**. The friend gets a cancellation message, and if a seat frees up, the next person on the waitlist is promoted.

When you raise the capacity, the open seats also go to people on the waitlist, oldest first. Slots with bookings can't be removed, and capacity can't go below the number booked. Deleting an event also deletes its slots and bookings (friends aren't notified).

## Booking as a friend

Friends open the URL in LINE and choose a time on the booking page.

- They book an open slot with **Book**, or a full slot with **Join waitlist**.
- After booking, they can click **Cancel booking** or **Leave waitlist** on the same page. After the cancellation deadline, they can't cancel.
- People on the waitlist see their place in line.
- For events that need approval, friends see **Awaiting approval** after applying, and get a confirmation on LINE once it's approved.
