Work with teams, guests and other organizations

On this page

In Task management, you can work on projects with teams, people outside your organization, and other organizations, as well as with members of your own organization. When someone makes a change, everyone who has the same project open sees it right away. People who have the same project open appear as round faces next to the project name.

Assign a team

Create teams such as “Sales” and “Design”, and you can assign a task to a whole team.

  1. An owner or admin opens Settings > Members.
  2. Under Teams, enter a name, check the members to put on the team, and create it.
  3. Select a task’s assignee chip and choose the team.

When a team is assigned, mukumo emails the team’s members. The team’s tasks also appear in each team member’s My tasks.

Invite people outside your organization as guests

You can invite people outside your organization, such as contractors and customers, as guests of a single project. A guest sees only the tasks of the project they’re invited to, and can add, change and comment on them. Guests can’t see other projects or services, and they don’t count toward your member count.

  1. An owner or admin opens the project’s … menu and chooses Share (guests and other organizations).
  2. Enter the email address of the person to invite and select Invite.
  3. The invited person logs in to mukumo from the link in the email and accepts the invitation.

Guests can’t change project settings or delete tasks. On the same screen, you can remove a guest from the project.

Share with another organization

You can share one project with another organization, such as a partner company. Members of the organization you share with open the project from their own organization’s screen, and can see and edit its tasks.

  1. An owner or admin opens the project’s … menu and chooses Share (guests and other organizations).
  2. Under Share with another organization, enter the email address of an owner or admin of the other organization and select Send invitation. The invitation is valid for 7 days.
  3. The other person opens the link in the email while logged in with that email address. They choose the organization that will receive the share and select Accept.

A shared project appears under Shared with you in the other organization’s left navigation. The organization that owns the project controls its settings. To stop sharing, an owner or admin of the owning organization can do it on the same screen, and an owner or admin of the other organization can select Leave this share above the shared project.

Ask muku

You can also talk to muku to find, create and change tasks.

  • Ask “What’s due by tomorrow?” or “Show me the Design team’s tasks,” and muku finds the tasks and answers.
  • Ask “Create a task to revise the LP copy by next Friday,” and muku shows a card proposing the task. It creates the task only when you select Approve and run.
  • Requests to change a status, assignee or due date, or to write a comment, also run only after you approve them.
